Job Purpose:
The Executive Coordinator will support the company director in daily managerial tasks, ensuring smooth operations across multiple business areas. The role involves handling administrative, operational, and client-related matters, including meeting follow-ups, contract management, vendor and client negotiations, and process optimization. The ideal candidate will be highly organized, proactive, and capable of managing multiple responsibilities in a fast-paced environment.
Work Responsibilities:
Manage and coordinate meetings, and ensure timely follow-ups.
Maintain clear communication with internal teams and external stakeholders.
Oversee contract negotiations, liaise with vendors and suppliers, and ensure compliance with company regulations and requirements.
Monitor and improve internal administrative processes, ensuring efficiency in document management, reporting, and workflow optimization.
Maintain databases for clients, vendors, and internal documentation through an internal in-house system.
Prepare reports, summaries, and presentations for internal and external use, ensuring clarity and professionalism.
Assist the marketing team with email marketing campaigns, content creation, and company profile management.
Requirements:
Education & Experience:
At least 2 years of experience in similar roles
Strong leadership and management experience
High proficiency in using computers, online tools, and productivity software
Excellent written and spoken English
Experience in marketing tools and strategies such as LinkedIn, Canva, and Hubspot is a plus
Knowledge, Skills & Attributes:
High organizational and time management skills with the ability to multitask effectively
Strong written and verbal communication skills
Ability to formulate, draft and maintain company documents and policies
High level of discretion and confidentiality in handling sensitive information
Proficiency in negotiation and problem-solving to support contract and vendor management
Strong attention to detail and ability to maintain accuracy in high-pressure situations
Strong research skills
